Happy Tuesday, When it comes to working with clients, there are three essential pillars of communication that can transform a one-time transaction into a generational relationship: Lead Generation Follow-up Transaction to Close Now, if I asked you to grade yourself on these three elements, where do you stand? Are you balanced across all areas, or is there a clear strength or weakness? Most agents, when asked, feel confident about their transaction coordination. It’s the most intense and deliberate part of the process, and it’s where things can go wrong quickly if mishandled. Dropping the ball during this stage can cause heartache, stress, or even financial damage for your clients. While it may not be the most important part of the relationship, it’s arguably the most impactful. It will determine whether that client ever works with you again or will refer you future business. We hear the statistic often: 89% of people say at the closing table that they would work with their realtor again. Yet, in reality, only 16% actually do. Why? Because there’s a lack of follow-up and a failure to stay top-of-mind. But today, I want to focus on transaction management—the unsung hero of client retention. Transactional Management: Why Organization is Everything You can’t be haphazard with transaction management. Organization is key, and there are critical dates in every contract that must be met. A missed date or misunderstood contract term could cost your client tens, if not hundreds, of thousands of dollars. Not to mention the damage to your reputation. So, how organized are you? Do you use a transaction management platform? Are you relying on Asana, Excel, Word docs, Google Calendar, or (heaven forbid) sticky notes? Is everything documented or done off the cuff? Some of these options make sense; others should terrify you. Process is King There’s only one way to manage transactions effectively: with a clear, organized process. Newer agents often struggle with what that process should look like. Questions like, “What happens after someone agrees to work with me?” or “When do I schedule photography or inspections?” are common, but these are scary questions if you don’t know the answers. Your clients are relying on you. Make the wrong move, suggest the wrong step, or miss a key action, and they could be financially impacted. So, what does your process look like? Is it detailed and thorough, or are you leaving things to chance?
Key Questions to Ask Yourself:
What does your daily structure look like? How do your systems support your process? Do you have administrative support? How is sensitive documentation handled securely? Are you relying too heavily on technology or outside services without truly mastering the contracts and systems yourself? Too many agents rush to use leveraged services or technology without fully understanding the foundation. Master the contract. Know the terms, the addendums, and what happens if a deadline is missed. Are You Ready to Own the Process? If you’ve been managing transactions for a while, you’ve likely saved deals, and yes, lost a few too. But how often do you work with agents on the other side of a deal who don’t have a grasp of their own process? Look at your tools, your knowledge, your execution, and your systems. It starts small: maybe a piece of paper evolves into an Excel spreadsheet, which then becomes a workflow, and finally transforms into a robust platform that runs your business. Technology Can Help—But You’re Still the Driver Tools like smart due dates, automated emails, and transaction summary pages can simplify the process for you and your client. But without your understanding and input, those tools are useless. It’s still your responsibility to drive the transaction and ensure everything is moving according to plan. So, how often are you reviewing your systems? Do they fit the varied needs of different transactions, financing types, and client situations? There isn’t a one-size-fits-all approach, but there is a right way to manage the chaos. Master your process, and you’ll master the client relationship—now and for years to come.
